Reserve a UW Fleet or DOA vehicle


Submit a request through the Fleet Vehicle Reservation Request form.

  • Fleet must be requested at least one week in advance. The more advance notice, the better. Reservations submitted without at least one week notice may not be available.
  • The reservation must be under the driver's name with valid fleet authorization completed.

Get trained and authorized to use a vehicle for UW business


Any person driving for university business (including Fleet, Big 10 rental, personal vehicles) or seeking mileage reimbursement must be fleet certified. Become Authorized in three steps! 1. Complete a Vehicle Use Agreement.

2. Complete the driving quiz and score 100%. 3. Watch for approval (7-10 days) in your email.





Big 10 Rental Cars

Big10 Rental Car contract details


The university receives special prices on rental vehicles through Enterprise and National. 21+ can drive vehicles, as long as they are driver authorized by the university. Full contract details including pricing




Reserve a Big10 rental car


Vehicles can be booked on the vendor website or via the phone using the Big 10 Contract code.

Paying for vehicles and fuel


Rental reservations and gas can be paid for with a Department Card.




Getting to/from rental car offices


Coordinating a ride to/ from the rental car office location should be arranged by the renter. Some companies offer free pick-up/ drop-off during their open hours. Arrange directly with them ahead of time.





General Driving Info

Personal Liability Information


Individuals driving others in their own personal vehicles on an unofficial Hoofer trip or to/from a Hoofer event that doesn't officially offer transporation, do so at their own risk and will not be protected by state insurance in the event of an accident.




Trailer Towing Information


Individuals who are pulling a club owned trailer needs to be approved through an in-person trailer training, usually offered and announced via Club Manager 2x/year No trailers can be pulled by a personal vehicle.




Vehicle Accessories (bike racks, etc)


Vehicle accessories, such as roof racks, bike racks, and strapping crafts to the roof are not allowed unless approved by UW Risk Management. Work with your advisor on this.




University Policy on Driving Distances


Drivers should switch every four hours or sooner as needed. < 12 Hours - No driver may drive more than 8 hours per day or hour hours per shift. 12<18 Hours - Four authorized drivers required. Consult your advisor for these trips to have it approved by risk management. > 18 Hours - Trip should meet all other requirements but must have a minimum eight hour day over over two days.

2. Complete the driving quiz and score 100%. 3. Watch for approval (7-10 days) in your email.

2. Complete the driving quiz and score 100%. 3. Watch for approval (7-10 days) in your email
